Settings for "Book for Others"
Prerequisites
To manage settings for "Book for Others," you need admin access on the Routespring platform.
Company Settings
- Go to Company Dashboard > Settings and locate "Book for others settings"
- Configure who should receive the booking emails, when your users book travel for someone else. Select at least one of the options below:
- To Traveler: Booking emails will be sent to the traveler's email address provided at the time of booking.
- To Booker: Booking emails will be sent to the booker's email address.
- To any other email address: Provide any additional email address(es) for receiving booking notifications.
- When booking for guest travelers, would you like to save their traveler profile in "Shared Profiles"?
- Selecting Yes will save the traveler profiles in "Shared Profiles," allowing them to be retrieved and reused for future bookings.
- Selecting No will mean the guest traveler information is not saved in "Shared Profiles" and cannot be reused.
Department Settings
- Go to Company Dashboard > People
- Add or edit the Department settings
- Toggle "Allow users to book for other travelers" to ON
- Under "Send booking emails to", the default setting follows the Company Settings above. To customize, configure these settings as explained above.
User Settings
- Go to Company Dashboard > People > Users
- Add or edit the user settings
- Toggle "Allow users to book for other travelers" to ON
- If the user role is "Admin" or "Travel Manager," this setting will always remain ON.
- Under "Send booking emails to", the default follows Department Settings. To customize, configure as explained above.

Note: If "Book for Others" settings are not customized at the user level, they will follow the Department’s "Book for Others" setting. If not configured at the department level, the Company’s "Book for Others" setting will apply.
