Routespring allows organizations to customize how travelers manage their bookings. One of the available controls is the Restrict Traveler-Initiated Cancellations policy.
This setting helps companies maintain oversight of trip changes, prevent accidental cancellations, and ensure that all itinerary adjustments follow internal approval workflows.
When Restrict traveler-initiated cancellations is enabled:
Travelers cannot cancel their own trips (flights, hotels, or cars).
The Cancel button will no longer appear in the traveler’s “My Trips” section.
Only users with Travel Manager or Admin permissions can cancel itineraries on behalf of travelers.
All cancellation requests must be routed to the travel management team or organizational admin.
Organizations typically enable this setting when:
Cancellations require internal approvals.
Travel arrangements are managed centrally by a coordinator or travel desk.
Company policy prohibits travelers from making changes without oversight.
Trips are tied to project budgets, client billing, or compliance-sensitive workflows.
The company uses consolidated invoicing and wants tighter control over credits and refunds.
If a traveler attempts to cancel a booking while this policy is enabled, they will see a message such as:
“Cancellation is disabled as per the policy. Please reach out to your travel manager or admin to complete cancellation of this itinerary.”
They will still be able to view all trip details but will not see the option to cancel.
Admins and Travel Managers retain full control. They can:
Cancel any traveler’s itinerary
Process refunds or credits
Rebook or modify travel as needed
Override traveler restrictions when necessary
This ensures that all changes follow the correct approval pathway.
Log in to the Routespring Company Dashboard.
Go to Policies → Payments & Approvals (or your relevant policy section).
Locate Restrict traveler-initiated cancellations.
Toggle the switch ON to enforce the restriction.
Toggle OFF if travelers should be allowed to cancel their own bookings.
Changes apply immediately for all travelers under the selected policy group or department.
Communicate the policy to employees so they know how cancellations should be requested.
Pair this setting with approval workflows for a seamless control system.
Use this setting for high-value, complex, or project-critical travel.
